Here’s how: Creating a Personal Emergency Evacuation Plan ’PEEP’ at UCL

Everyone at UCL can ask their manager to help them create a personal plan to evacuate their workplace building in case of emergency such as a fire. UCL’s Fire Safety Team are available to support managers with the creation of a plan.

While relevant staff receive training on the PEEP process, all staff and students have a personal responsibility to ensure they can evacuate safely and to notify their department if they are unable to use the designated emergency escape route shown during local induction, or if their circumstances change at any point.

Requesting a Personal Emergency Evacuation Plan

PEEPs are individual plans, and any student or staff member can request one. Responsibility for completing PEEPs varies by department and may sit with your Head of Department, Department Safety Officer, or another nominated colleague. If you feel you may need a PEEP, please speak to your line manager or departmental contact in the first instance.

Where to start with creating your own Personal Emergency Evacuation Plan

  1. Speak to your line manager about creating a PEEP.
  2. If this is their first time supporting someone to create a PEEP, share the information for managers below with them.

How to get support someone creating their Personal Emergency Evacuation Plan

Complete the online Personal Emergency Evacuation Plan (PEEP) Training module , which is open to all those who assist with the completion of PEEPs.

Have an initial conversation with the individual and fill out the questionnaire section of the Personal Emergency Evacuation Plan form
  1. The following steps are only necessary if step-free evacuation routes are required*:
    · Email the list of rooms or spaces to the UCL Fire Team who can provide detailed plans and evacuation routes.
    · Contact the UCL timetabling or room bookings Team and request a room change due to a reasonable adjustment/PEEP
    · Once all step free routes are confirmed, this should be added to the PEEP form and confirmed with the individual.
  2. Arrange to visit the spaces where required with the individual and Facilities Manager (FM) or Department Safety Officer (DSO).
  3. If any access requirements arise with any locations, the department contact should submit a project request through MyCampus and select this as part of a reasonable adjustment
  4. Regularly review the PEEP with the individual, e.g. where room changes are made, if the individuals condition changes, if there are changes within the building, etc.

Where to find help and advice

Once you’ve had an initial conversation with the individual and completed the questionnaire section of the form, you’ll have a clearer understanding of their needs and can begin writing their plan together. The following resources and contacts can support you through the process.
